Management, not administration
Most agency management is a forwarding service: the tenant reports a problem, the agent forwards it to the landlord, the landlord approves a contractor, and three weeks later somebody turns up. We hold the property, so we fix the property. Nothing waits for a chain of approvals.
How a repair moves
- Reported — by phone or email, logged with a reference the same day.
- Triaged — assessed for safety and urgency, with emergencies escalated immediately.
- Attended — scheduled with the resident, with at least 24 hours’ notice where it is not urgent.
- Closed — completion recorded against the property, so the history stays with the asset.
Planned upkeep
Inspections run on a cycle rather than in response to complaints. It is a cheaper way to hold a property: a failing seal found on an inspection costs a fraction of the damp job it becomes eighteen months later, and it is the difference between a property that hands back in good order and one that needs a schedule of dilapidations.
Compliance
Gas safety, electrical installation condition reports, smoke and carbon monoxide alarms, and fire safety requirements are tracked against renewal dates rather than remembered. Where a property sits under HMO or additional licensing, the conditions attached to that licence are part of the management plan.
